Event Assistant – Job Opening

POSITION REPORTS TO DIRECTOR, EVENTS & COMMUNICATIONS

Job Description

Event Operations

  • Assist Manager of Events and Director of Events and Communications with event rooming lists and travel coordination for all COCCI events including travel forms, booking flights, and rooming list submissions.
  • Assist Director of Events with reports for Jotform, Sessionboard, and Swoogo (Equity in GI Registration system), including week over week registration reports for all COCCI events.
  • Manage COCCI and Sponsor Shipping Manifests for all COCCI events (to include maintaining COCCI’s inventory for events).
  • Manage signage needs and graphic content for all COCCI events.
  • Manage the virtual experience for Equity in GI.
  • Manage payment submission process for all COCCI events.
  • Assist with onsite registration solutions desk for The Cookout.
  • Compile event data for Post Show Event Reports.
  • Compile post event survey results.
  • Create and manage workbook of vendor and sponsor contacts for all COCCI Events (to include new vendors in new event cities).
  • Other assignments as needed.

Budget

  • Assist with compiling ancillary vendor quotes for events/budgets.
  • Assist in event invoice capture for monthly accrual spreadsheet.

External Events

  • Assist with coordination for Digestive Disease Week and ACG to include: shipping process, shipping manifest, booth inventory, on-site set up and breakdown.

Communications/Marketing

  • Work with all COCCI team members to compile content for emails and review email drafts.
  • Maintain COCCI’s event calendar and editorial calendar for social, emails, website with review/assistance from Director of Events and Communication.

Knowledge, Abilities, and Critical Skills Required

  • High professional and ethical standards, with a commitment to excellence and customer service

  • Strong verbal, written, and interpersonal communication and listening skills
  • Ability to manage multiple projects
  • Must be detail oriented
  • Knowledge of software applications used for events (Microsoft Office-Word, Excel, Power Point, and other related software)
  • Strong writing skills with the ability to format documents and data
  • Strong initiative in time management, work prioritization, project management, and independent thinking.

Education and Experience Requirements

  • Bachelor’s Degree in Public Relations, Hospitality, or related areas with at least one year of administrative work experience or equivalent general administrative work experience of one to three years required.
  • Knowledge of event management and programming preferred.
  • Proficiency in various event software.
  • Ability to travel (10%)
  • Ability to lift a minimum of 10lbs.
